Who are we hiring?
Reporting to the Senior Director, Solutions Delivery (Projects), this role involves holding overall accountability of the management and delivery of projects/ project during its life cycle from inception to completion whilst engaging with all relevant stakeholders during the course.
Managing and ownership of the project budget and programme is essential together with interfacing regularly with senior members of the client’s team as well as departments within Instant involved in project process (to include Business Development, Legal and Accounts. The role also involves the managing, development and mentoring of individual members within the Operations team.
What will you be responsible for?
Must be able to deliver fast track commercial projects within the programme and financial constraints based on each individual case.
All projects are bespoke which require a tailored approach to suit each client requirement. Regular interface with the client, professional team and internal stakeholders is essential to the role as well as managing all the various parties involved in the project process which you will be overseeing. Must be able to work well within the dynamic of a team in a rapidly changing environment.
Delivery
- Ensuring the delivery of all sites across EMEA conform to current CDM / H&S regulations and in line with company policy
- Ensuring the company Best Practice Manual (BPM) is adhered to across the board. Driving the sustainability agenda and target through design/ specification and procurement activities, ensuring sustainability data is collated and reported on
- Ensuring all projects have robust project plans in place with a critical eye for detail
- Manage changes to scope, cost, and schedule of project work.
- Coordinate priorities and resources among multiple projects as well as cross-functional meetings.
- Develop project-related documentation and implement lessons learned.
- Update and maintain KPI & quality metrics for each project.
- Oversight of project governance packs including plans, RAID logs, project budgets, project reports and associated documentation in line with client and internal requirements. This will include providing assistance and guidance to internal coordinators, managers & consultants to ensure that documentation is fully developed and robust
- Financial reporting of the project against budget. This includes liaison with Finance managers and/or the CFO to go through the project budget and actively resolving any financial issues
- Demonstrate a passion for exceptional customer service and delivery
- Ensure you meet the process requirements laid out by IWMS
- Actively promote good risk management processes
- Facilitate and take part in sessions to resolve issues effectively.
- Solve problems and minimize waste by being analytical and continuously seeking ways to improve.
- Champion efficiencies, automation, and the use of data to measure progress and change.
- Anticipate and proactively address needs, risks, and challenges over a longer time horizon than your teams' current focus.
- Communicate with internal and external customers/partners and management and understand how to communicate difficult/ sensitive information tactfully.
- Maintain excellent working relationships with key internal liaisons including the Property team, Commercial team and Operations teams
- Proactively seek opportunities to help our business grow
- Continually horizon scanning to ensure that we stay ahead of any upcoming changes either legislative or consumer behavioural that may impact our business
- Complete regular performance reports (dashboard) of all activity
- Identify and actively pursue an Award-winning project.
- Act as a key stakeholder in winning new projects and clients.
- Target margin (%) improvement gains.
What are we looking for?
- A Project Management based background within the commercial property sector (consultant, contractor or client side preferred) is key to the undertaking of this role.
- Construction experience and understanding of Facilities Management is a necessity in order to carry out the duties expected.
- Good knowledge of industry standards, Health & Safety legislation and current statutory requirements is also key to this
- Must have a proven track record in relation to delivering excellent customer service within the property sector at all levels as well as exceptional client facing skills.
- A proven network of contacts would also be considered an advantage to this position
